Preserve the notice and delivery record

Keep every page, enclosure and the envelope or delivery message. Record the date and method of receipt. If the notice mentions a response date, hearing or proposed action, bring it to the advocate’s attention promptly.

A notice may raise factual allegations, contractual demands or procedural issues. Avoid relying on a generic internet reply. The appropriate response depends on the document, the sender, the underlying facts and the applicable law.

Prepare facts without changing evidence

Arrange agreements, invoices, payment records and communications in date order. Make a separate list of statements you dispute and the documents that support your position. Preserve original electronic files rather than editing screenshots or messages.

Ask the advocate which dates need action and how the response will be prepared and sent. Do not assume that contacting an office, requesting an appointment or negotiating informally pauses a legal time limit.

Records to organise

  • Complete notice, enclosures and delivery record.
  • Related agreements, invoices and proof of payment.
  • Earlier correspondence and any prior notice or reply.
  • A factual timeline and any court or authority reference.

Bring copies for discussion and keep originals secure. This is a preparation list, not an exhaustive statutory filing checklist.

Common questions

Should I use an online reply template?

A template may miss the facts or legal issues. Have the notice individually reviewed before responding.

Does an appointment request extend a deadline?

No. Obtain prompt advice about the applicable date and required action.
